How Much Does School Management Software Cost in India?

Search for school ERP pricing and you'll mostly find “request a demo” buttons. That's not because pricing is complicated — it's because vendors want a sales call before you see a number. Here's what schools in India actually pay, and what to check before you sign anything.

Two pricing models you'll run into

Per-student pricing is the most common model among modern cloud platforms. You pay a fixed amount per enrolled student per year, and the price scales up or down as your school grows or shrinks. It's predictable and easy to budget.

Licence + annual maintenance is more common with older, desktop-installed ERPs. You pay a large one-time licence fee based on school size, then a smaller annual maintenance charge for support and updates. This can work out cheaper over many years, but it's a bigger upfront commitment and harder to walk away from if the software doesn't fit.

Why prices vary so much between vendors

Per-student pricing depends on school size, feature depth, and whether AI features or multi-campus support are included. Smaller schools often pay more per student, since fixed platform costs are spread across fewer students; larger schools and multi-campus chains typically negotiate a lower per-student rate.

Compare quotes on the same student count and the same must-have features, and get every figure in writing. The only way to get an accurate number is to tell a vendor your actual student count and which features you need.

What's usually bundled, and what costs extra

Usually included

Attendance, fee collection and invoicing, exams and report cards, timetable, staff management, a parent portal, and an Android app.

Often a higher-tier feature

Live GPS bus tracking, online classes and MCQ exams, admissions pipelines, library management, and multi-campus dashboards are frequently gated to a mid or top plan rather than the entry plan.

Commonly billed separately

SMS alerts are usually charged per message by an SMS gateway, on top of the software subscription — email alerts are far more often included free. Ask specifically about this; it's the most common source of surprise bills.

Ask about explicitly

Setup and data migration fees, the cost of adding staff/admin accounts beyond a base number, and whether AI features (lesson plans, admissions chatbots) are included or a paid add-on.

Six questions to ask before you sign

  • Is the price per student, per user, or a flat licence fee — and what happens if enrollment changes mid-year?
  • Is setup and data migration from our existing spreadsheets included, or billed separately?
  • Are SMS alerts included, or billed per message on top of the subscription?
  • What's the support response time, and is it the same for every plan or only the top tier?
  • Can we see the full feature list per plan in writing, not just a highlights page?
  • Is there a free trial, and can we run it on our own data before committing?

LearnSync's pricing, plainly

We price per student, across three plans sized to school scale:

Starter

100–299 students

Attendance, fees, exams, timetable, staff management, Android app, email support.

Growth

300–999 students

Adds GPS transport, admissions, online classes & MCQ exams, library, leave management.

Enterprise

1,000+ students

Adds AI admissions chatbot, AI lesson plans, multi-campus dashboard, payroll, visitor management.

Setup and data migration are free on every plan. Email absence alerts are included; SMS alerts are a separately priced add-on on top of Growth or Enterprise, because every SMS is billed by our SMS provider and we'd rather price that honestly than bury it in the base fee. There's a free 30-day trial with no credit card required — book a demo and we'll give you an exact quote for your student count.

Frequently asked questions

Is school management software priced per student or a flat fee?

Most modern platforms, including LearnSync, price per student per year — which scales predictably as your school grows or shrinks. Older desktop ERPs more often charge a large upfront licence fee plus a smaller annual maintenance fee, which is harder to budget for and harder to leave.

What's usually included versus billed separately?

Attendance, fees, exams, timetable, staff management and a parent portal are core in almost every plan. Things that commonly cost extra: SMS alerts (billed per message by the SMS provider, not the software vendor), multi-campus dashboards, payroll, and AI features. Always ask for the full feature list per plan, not just the highlights page.

Are there hidden costs to watch for?

The three most common: a one-time 'setup and migration' fee (ask if it's included), SMS credits billed separately from the subscription, and a per-user cost for staff accounts beyond a certain number. Get all of this in writing before signing.

Does cheaper always mean worse?

Not necessarily, but a suspiciously low per-student price sometimes means a thin feature set, or fees that appear later for things you assumed were included. Compare like-for-like: attendance + fees + exams + parent portal + support response time, not just the headline number.

How does LearnSync price its plans?

Per-student, across three plans — Starter (100–299 students), Growth (300–999 students) and Enterprise (1,000+ students, multi-campus, negotiated). Setup and data migration are free on every plan, and there's a free 30-day trial with no credit card required. Email absence alerts are included; SMS alerts are an optional add-on billed on top, since every SMS is charged by our SMS provider.
