School Management Software Features That Actually Matter

Every school ERP brochure lists fifty features. In a real school, six or seven of them decide whether the software gets used or quietly abandoned. This is a practical walk through the features that matter most in an Indian school day, what to check for in each, and how LearnSync handles them, including which plan each one is on.

1. Attendance that reaches parents the same day

Attendance is the feature teachers touch first, so it has to be fast: mark a whole class in a minute, not ten. The part parents care about is what happens next. When a child is marked absent or late, LearnSync notifies the parents straight away, so a missing child is noticed at 9:30 in the morning, not at the end of the month.

What to check in any system: can a class teacher mark attendance from a phone, and do parents hear about it without anyone typing a message?In-app: all plans · Email: Growth · SMS: paid add-on

2. Fees: invoices, online payment and fewer follow-up calls

Fee collection is where most schools lose the most time. LearnSync generates invoices from your fee structure, lets parents pay online through Razorpay or Cashfree, and also handles the reality that many parents still pay by UPI or transfer: they upload the payment proof, and the accounts team approves it before it is recorded as paid. Nothing is marked paid on a parent's say-so alone.

For overdue fees there is a defaulters list and reminders that can go out by SMS, WhatsApp or push notification, either to selected families or to everyone overdue, where your school has set up the SMS and WhatsApp channels. All plans

3. Live bus tracking, and what it does not replace

For schools with their own transport, the transport module lets you set up routes and stops, assign drivers, see every bus on one live map, and record which students boarded. Parents can see where their child's bus is. Drivers send their location from their phone.

One honest point: this does not replace the certified tracking device that the law requires on school buses. That device, and the rules around it, are covered in our school bus GPS compliance guide. What LearnSync adds is that the location data is actually watched and tied to your student list.Growth

4. Online exams that hold up

For MCQ tests, LearnSync includes a question builder, timed exams and instant results. Two details matter if you want the results to be trustworthy: the timer is enforced on the server, so once time is up, further answers are rejected and the attempt is closed however long a student leaves the tab open, and the system counts tab switches and can auto-submit an attempt once a student passes the limit you set.Growth

5. Marks, report cards and hall tickets

Teachers enter marks once; report cards, results and hall tickets come from the same data. Parents see results and a printable report card in their own portal, so there is no separate paper run at the end of term. All plans

6. Compliance without a last-week scramble

Indian schools carry a growing list of filings and student records: UDISE+ data, APAAR IDs, RTE records. LearnSync keeps the fields those filings need on the student record all year, and can export the data when it is due. If you are preparing for a deadline, our guides to the UDISE+ filing process and APAAR ID explain what to prepare.

7. A parent portal in the parent's language

A parent portal that only works in English leaves out many of the families a school most needs to reach. The LearnSync parent portal can be switched between English, Odia, Bengali and Kannada, and it shows attendance, fees, results, transport and newsletters in one place. Parents log in from a phone browser with no app to install. All plans

8. The right people see the right things

A school is not one user. Owners, principals, class teachers, accountants and drivers all need different access. LearnSync uses role-based permissions, so a teacher sees their own classes, the accounts team sees fees, and each institution's data is fully separated from every other school on the platform. Schools with several branches can add the multi-campus dashboard.Roles: all plans · Multi-campus: Enterprise

9. Privacy built in, not bolted on

Student records are personal data about children, and India's DPDP Act puts obligations on schools. LearnSync has built-in consent records, a personal-data export for families, and a deletion-request flow with a clear audit trail. Educational records that must be kept, such as attendance and marks, are retained, and the rest can be removed.

10. AI where it saves real time

We keep AI to the places where it saves staff time today: a lesson-plan generator for teachers and an admissions chatbot that answers parent enquiries and captures leads outside office hours. Both are on the Enterprise plan.

How to judge any school ERP, in one afternoon

Ask each vendor to show you these live, using a school like yours, not a slide:

  • Mark a class absent from a phone and show the parent receiving the alert.
  • Generate a fee invoice, take a UPI payment proof, approve it, and show the receipt.
  • Show the last month of a real school's attendance and fee data, not sample rows.
  • Ask what is included in your plan and what costs extra. Is data migration free?
  • Ask for a school of your size, in your city, that you can speak to.

Frequently asked questions

What features should a school management system have?

At minimum: attendance with same-day parent alerts, fee invoicing with online payment and reminders, exams with report cards, a parent portal, role-based permissions for staff, and reports for compliance filings such as UDISE+. Schools with their own buses also need route and live-location tracking. Beyond that, look at how well the system fits your daily routine rather than how long the feature list is.

Do parents need to install an app?

No. LearnSync works in any smartphone browser, Android or iOS, so parents can log in without installing anything. There is also an Android app, included on every plan.

Which features are on which plan?

Every plan includes the Android app. Starter covers student and parent portals, attendance, fees, exams, timetable, staff management and in-app notifications. Growth adds email absence alerts, GPS transport tracking, admissions, online classes and MCQ exams, library, leave management, events and polls. Enterprise adds the multi-campus dashboard, payroll, visitor management, inventory, and the AI admission chatbot and lesson-plan generator. SMS alerts are an optional add-on on top of Growth or Enterprise, priced separately because every SMS is billed by our SMS provider.

How long does setup take, and does it cost extra?

Onboarding and data migration are free on every plan. Your team can typically log in the same day; how quickly you go fully live depends mostly on how ready your student and fee data is. Pricing is per student, based on the size of your school. Book a demo and we will give you a quote.

Can LearnSync replace our AIS-140 GPS device on the school bus?

No. AIS-140 is a certified device fitted to the vehicle, and it is a legal requirement in its own right. LearnSync's transport module shows your buses on a live map, tracks routes and stops, and records who boarded, so that the location data is actually watched and used. It complements the certified device rather than replacing it.
