LearnSync (“we”, “our”, or “us”) operates the LearnSync platform, including the LearnSync Management, Student, Staff, and Parent mobile applications (collectively, the “Service”). This Privacy Policy explains how we collect, use, disclose, and protect information when you use our Service. By using the Service you agree to the practices described here.

1. Information We Collect

We collect the following categories of information:

• Account information — name, email address, phone number, role (principal, teacher, student, parent), and institution details provided at registration.
• Student and academic data — attendance records, exam scores, assignments, class schedules, fee payment status, and academic progress, entered by authorised institution staff.
• Usage data — pages visited, features used, session timestamps, and device identifiers, collected automatically for analytics and security purposes.
• Device information — device model, operating system version, app version, and push-notification token (used only to deliver in-app notifications).
• Communications — messages sent through the platform between staff, students, and parents; announcements; grievance submissions.

We do not collect precise GPS location, payment card numbers, biometric data, or any sensitive personal data beyond what is listed above.

2. How We Use Your Information

• Provide, maintain, and improve the Service.
• Authenticate users and enforce access controls (role-based access).
• Send push notifications, announcements, and alerts relevant to your role.
• Generate attendance, fee, and academic reports for institutional administrators.
• Respond to support requests and grievances.
• Comply with applicable laws and legal obligations.
• Detect and prevent fraud, abuse, or security incidents.

We do not sell your personal data. We do not use student data for advertising.

3. Data Sharing and Disclosure

We share information only in the following circumstances:

• Within your institution — data is visible to authorised staff of the same institution according to their role and permissions.
• Service providers — trusted third-party vendors who process data on our behalf (e.g., cloud hosting, email delivery, push-notification infrastructure) under strict data-processing agreements.
• Legal requirements — when required by law, court order, or government authority.
• Business transfers — in the event of a merger, acquisition, or asset sale, user data may be transferred; affected users will be notified.

4. Data Retention

We retain personal data for as long as your account is active or as needed to provide the Service. Academic records (attendance, marks, fee history) are retained for the period required by the institution and applicable education regulations, typically 5–7 years after a student leaves the institution. You may request deletion of your account data by contacting us (see Section 9).

5. Security

We use industry-standard security measures including TLS encryption in transit, encrypted storage at rest, role-based access controls, and regular security reviews. No method of transmission over the internet is 100% secure; we cannot guarantee absolute security, but we are committed to protecting your data to the best of our ability.

6. Children's Privacy

LearnSync is used by educational institutions and may process data of students under the age of 13. We collect only the minimum data necessary for the educational functions of the platform. Student data is entered and controlled by the institution (the data controller). Parents or guardians may contact their institution's administrator to review, correct, or request deletion of their child's data.

7. Your Rights

Depending on your jurisdiction, you may have the right to:

• Access the personal data we hold about you.
• Request correction of inaccurate data.
• Request deletion of your personal data (subject to legal retention obligations).
• Withdraw consent where processing is based on consent.
• Lodge a complaint with a data protection authority.

8. Third-Party Services

Our mobile applications may integrate third-party services such as Firebase (Google) for push notifications. These services have their own privacy policies that govern their use of data. We encourage you to review them.

We may update this Privacy Policy from time to time. We will notify users of material changes through the application or by email. Continued use of the Service after changes take effect constitutes acceptance of the updated policy.
